Airsoft Field Rental Cancellation and Refund Policy

We understand that plans can change. To ensure fair and consistent service for all our customers, we have established the following cancellation and refund policy:

1. Deposit:

• A $50 deposit is required to secure your field rental booking.
• This $50 deposit is non-refundable if the booking is cancelled less than 14 days prior to the scheduled rental date.

2. Remaining Payment:

• The remaining balance of the rental payment will be required on-site at the beginning of your scheduled booking.

3. Minimum Group Size:

• Our minimum group size for field rentals is 10 participants. If your group falls below 10, you will still be responsible for the full rental cost based on a group of 10.

4. Rescheduling:

• Subject to availability, you may reschedule your rental date up to 14 days prior to your original booking date without forfeiting your $50 deposit. Rescheduling within 14 days of your event will be treated as a cancellation, and the deposit will be retained.
• Rescheduling is limited to one time per booking.

5. No-Shows:

• Failure to show up for your scheduled rental will result in forfeiture of the $50 deposit.

6. Weather Conditions:

• In the event of severe weather conditions that make the field unsafe or unusable (e.g., thunderstorms, heavy snow, or flooding), we will contact you to reschedule your rental at no additional cost. If rescheduling is not possible, the $50 deposit will be refunded.
• Light rain or other mild weather conditions will not result in a refund or reschedule. Please plan accordingly.

7. Group Size Reductions:

• If your group size decreases after booking, please notify us at least 14 days prior to your rental date. Reductions within 14 days will not result in a refund.
• If you booked for a minimum group size, and your group falls below the minimum, you will still be responsible for the original booking cost.

8. Booking Confirmation:

• Your booking is confirmed upon receipt of your $50 deposit.
• Your deposit can be e-transferred to clarington.airsoft@gmail.com.
• Please include the booking date and the person’s name that booked the field in the e-transfer message.
• You will receive a confirmation email with your booking details and this cancellation policy.

9. How to Cancel or Reschedule:

• To cancel or reschedule your rental, please contact us by phone at 905-926-8894 or by email at info@claringtonwoodsairsoft.ca during our business hours.

10. Exceptions:

• Exceptions to this policy may be made at our sole discretion for extenuating circumstances.

Important Notes:

• This cancellation policy applies to all rental bookings.
• Refunds will be processed within 7-10 business days of the cancellation date.
• We recommend that all participants arrive on time to maximize their play time. Late arrivals will not result in refunds or extended play time.
